Feature Focus: Order Subpoena Documents Tab



Calling all Workers Compensation Defense and Applicant firms! Are you frequently using subpoena documents? Did you know that we have a subpoena document feature in MerusCase? If you didn’t, read on, it will make your life a whole lot easier!

We are working with Gemini and Compex Legal Services, Inc. to provide a subpoena document service right within your MerusCase portal. Gemini is a leading provider of subpoena and copy services, online records management, and is a technology pioneer in the workers’ compensation industry. Similarly, Compex Legal Services, Inc. is one of the largest litigation and discovery support services in the nation. Together, MerusCase, Compex, and Gemini have partnered to simplify the subpeona documents process so that you can spend less time bogged down in administrative tasks and more time doing what you love: practicing law.

How it works:

  1. To access the subpoena document feature, you will find an ‘Order’ tab in the top menu when you open up a case

  2. Click on this tab and a form will pop up for you to complete

  3. After the form is filled out, the order will be handled by Gemini, and they will upload the subpoena records directly back into your case file

To use Compex services:

  1. Under the Forms & Templates section in the Left Panel menu, find the Compex form

  2. Fill out this form, merge the file, and email it to merusorders@compexlegal.com

  3. The order will then be handled by Compex and your subpoena records will be uploaded back into your case file

CAAA 2016 Winter Convention [Booth #78]

MerusCase Customer Success Stories: Ortega Counseling Center

With over 25 years of combined experience, Ortega Counseling Center (OCC) provides excellent vocational, return-to-work counseling services to injured workers. Founded in 2011, Hazel Ortega and her team have since helped numerous injured workers navigate through the process of Vocational Rehabilitation in order to gain new skills and get started working in jobs they love.

Prior to starting Ortega Counseling Center, Hazel was a legal secretary for 17 years, where she had the opportunity to work with several case management systems, such as A1 and Tritek. Although the firm she worked for had an IT manager, she still found herself constantly struggling with the various case management systems: "It was hard to get technical support or answers to questions quickly," said Hazel, "and I was interested in working away from the office, which I couldn't do with those systems." It was these frustrations that initially prompted Hazel to seek a new solution for her case management needs upon founding OCC.

"I first met [the CEO] Johnny and his team at a convention; they were so nice and patient," Hazel explains, "I was able to take a look at the software and I thought it seemed easy to use." Naturally, when OCC was ready to purchase a case management system, the decision was clear: MerusCase would be Hazel's top choice. Now, long gone are the days in which she's forced to wait on hold for tech support or left frustrated by her systems' downtime; with MerusCase, not only is the customer service team quick to respond and resolve any issues or questions she has, but the system boasts a 99.95% uptime over the course of it's 7 years.

Since Ortega Counseling Center began using MerusCase in May 2014, the firm has experienced incredible growth. Most impressively, OCC's firm size has tripled and they've added three physical offices and twenty satellite offices. "I love that, when employees have to be out of the office, they're still able to work, so it's not as if we're out an entire person for the day," says Hazel of MerusCase's cloud-based portability and accessibility.

Ultimately, Hazel believes that MerusCase has increased her firm's productivity, especially with the use of it's communication features. She goes on to say that the transparent tasking "prevents random tasks from going 'missing' and that nothing is forgotten," which has helped her staff get more done and her clients get updated far more quickly. "With MerusCase, I'm able to work from home, so I can put in more hours. It helps to keep me on top of my tasks, I’m getting back to my clients right away, and I’m overall happier because of it."

  1. Sign into your MerusCase account.
  2. Go into the case of the client you want to refer and click on "Forms & Templates."
  3. Search for the form named "OCC Service Request Form."
  4. From here, you can auto populate your client's information, save the form, and send it off to OCC.

Feature Focus: JET File with MerusCase

If you're part of a California Worker's Compensation firm, you have the ability to e-file select documents through the JET filing service!

JET File is a California Division of Workers' Compensation (DWC) service that allows filers to submit multiple "forms" and attachments in one click of a button. It is designed for large-volume filers who file a hundred or more of any one of the following forms annually.
  • Application for Adjudication of Claim
  • Compromise and Release
  • Declaration of Readiness to Proceed (Hearing)
  • Declaration of Readiness to Proceed (Expedited Trial)
  • Stipulations with Request for Award

Feature Focus: Searching by DOI

This post will definitely cross the lines between our Savvy Support and Feature Focus articles, but bear with me because we feel this will come in handy for many of you!

Last week, we received an email from one of our clients asking if there is a way to locate a case by Date of Injury or Incident (DOI). In a perfect [Merus] world, it's easy to find a case by the plaintiff's name. However, what if you receive a Document for a case where the plaintiff's name is common? What if you have multiple cases for a John Smith?  What if the only identifying information on that Document is the plaintiff's name and the DOI? 

Then what?!

Well, then you recall reading this article! :-) 

In MerusCase, you can locate the correct John Smith by matching the DOI on that document with the correct case. 

How? There are two methods: 
  1. Using the Hover Preview Tool in your Case List
  2. Running a Date of Injury/Incident Report

Method 1: Hover Preview Tool

  1. Click on Cases from the main menu.
  2. Filter by Name for "John Smith" - your long list of cases will filter down to only to cases where the Plaintiff's name is John Smith. 
  3. Move your cursor/mouse over the file + magnifying glass icon (don't click!).
  4. When you hover over this icon, a window will appear giving you a snapshot of the case details including the Date of Incident (for PI cases) or  allowing you to select the correct John Smith case.

Method 2: Date of Injury/Incident Report

  1. Go to Tools > Reports.    
  2. Click on Date of Injury/Incident.
  3. Once clicked, a dialogue box will pop up prompting you to Please Specify Reporting Criteria.       
  4. Select a Date Range from the drop-down menu.
  5. Select Case Type. Note: You can select multiple case types. For instance, to select Bankruptcy, Civil, and Consult Only, click on Bankruptcy and then while holding down the Ctrl key on your keyboard, click Civil and Consult Only. Selected case types will be highlighted in blue once selected. If you do not hold down Ctrl, then only one case type will be selected. 
  6. Select Case Status from the drop-down menu. 
  7. Click Run Report.
  8. Once clicked, Merus will open a new tab in your browser displaying the Date of Injury/Incident Report per your chosen specifications. 
  9. To locate the correct case by Date of Incident, hit Ctrl+f (Cmd+f on a Mac) and type in the DOI that you're looking for.
