With so many new firms switching to MerusCase, we often get asked about our onboarding & data migration process. If you're thinking of switching to MerusCase, or are currently in the process, here is an overview on what to expect to get your firm fully running with your new cloud-based system!
01. Obtain Existing Data

During this kick-off phase of the migration, our team-members are in consultant mode - meaning that once we take a look at your existing data, we work with your firm to tailor the migration to your law type and your current system.
If your firm has any specific questions or concerns about this process, now is the time to ask!
02. Data Cleanse

During this phase, most firms find it helpful to choose specific procedures and methods in order to streamline their practice. This means that from this point forward, all members of their firm enter data into the system in the same way, use the same set of letter templates, and more in order to ensure a new level of consistency firmwide. This is particularly useful to firms with multiple offices and helps to uphold firm branding.
03. MerusCase System Setup

This includes, but is not limited to, setting up your firms:
- Branch Office(s)
- Default Venue(s)
- Letterhead(s)
- Activity Tags
- Event Types
- Billing Codes (UTBMS and/or Generic, where applicable)
- Custom Case Statuses
- User List w/ various User Levels
- Custom Word Templates
- Set Time Zone
- Ensure all Local Jurisdiction & State Court Forms are available (where applicable)
04. Training & Go Live!
The final step in the onboarding process is for each member of the firm to go through a training session with a MerusCase Expert. Training is not required, but it is highly recommended. At MerusCase, we've done this process thousands of times and we want your firm to be well equipped to hit the ground running when you first start using your new system. Why waste valuable time having each member of your firm blindly "learn on their own"? With Training, our experts don't leave the office until each firm member has all the tools under his/her belt to do all their daily tasks.
Throughout each step in the onboarding process, a member of the MerusCase team will be in contact with your firm. In order to smoothly make the transition, we will propose a timeline with deadlines and deliverables to keep your firm on schedule.
Prior to your firm's go live date, we require two meetings with someone in your firm:
- Data Review Meeting
- Template Review Meeting
Both meetings are relatively short and are intended to provide your firm a chance to review your MerusCase account prior to training and ask any additional questions.
